How It Works

The Agreement Workflow

From any confirmed reservation, open the Agreements panel and click Generate. Bookrenia creates the agreement pre-filled with the customer's details, vehicle info, rental dates, terms, and pricing. Copy the unique link or click Send via Email. The customer receives it within seconds — no login required to sign.

The customer opens the link on any device — smartphone, tablet, or desktop. They scroll through the rental terms, review the vehicle and pricing details, and sign at the bottom using a finger or mouse. Once submitted, they receive a confirmation and a copy of the signed agreement by email. You are notified immediately.

Before handing over the keys, the driver opens the agreement on their phone and taps through the inspection checklist — front, rear, left, right, interior, roof, and undercarriage. They photograph any existing damage using the phone camera, record fuel level, and note the odometer. The customer reviews and signs off on the inspection. All of this is saved against the agreement.

At drop-off, the same inspection flow runs again. Once complete, Bookrenia displays the pickup and drop-off records side by side — photos, fuel, mileage — so you can spot any new damage immediately. If a charge applies, you can add it to the invoice from the same screen.
